Add account notes

Account notes let you add information to an account. For example, you can use notes to record a summary of a conversation with a customer to help other operators manage the account.

Notes appear on the Notes page of an account and under the Account Balance panel. You can classify highlighted notes as notes or warnings.

The following icons identify a highlighted note or warning:

In addition to notes, you can also add collection notes to an account. Collection notes let you add notes about your progress in recovering the balance of the account's overdue invoices. Smile displays the latest collection note under the Account Balance panel. The Account Balance panel displays up to 3 notes or warnings and 1 collection note. All other collection notes are displayed on the Notes page. You can classify collection notes as a note or warning.

This task explains how to add a note, warning or collection note to an account.

  1. Search for the account to which you want to add a note, warning or collection note, then double-click the account entry in the search results.
    The Account summary page is displayed.
  2. On the Account Menu Tree, click the Disclosure triangle to the left of Account, then click Notes, then click New note or New collection.
    The Create Notes or Create Collection window is displayed.
  3. Select one of the following display options:
    • Hide this note—Displays the note only on the Notes page.
    • Display note on account page—Adds the note icon and displays the note under the Account Balance panel.
    • Display warning on account page—Adds the warning icon and displays the warning in red under the Account Balance panel.
    Note: Notes, warnings and collection notes displayed under the Account Balance panel are also displayed on the Notes page.
  4. Type the note text in the Note Text field and click Save.
    Smile creates the note, warning or collection note and displays it in the specified location.
